A clear scope is what keeps standards consistent. Here’s how to put one together.

Commercial property

Start with the areas, not the tasks.

List every area of the property and how it’s used: lobbies, suites, restrooms, breakrooms, corridors, stairwells, parking, walkways, landscaped areas. A lobby in a busy tower and a lobby in a quiet office park need very different attention.

Set frequencies by traffic.

High-traffic areas need daily or multiple daily attention; others can be weekly or monthly. Restrooms in a busy building may need daytime checks on top of nightly cleaning. Floors need a periodic refinishing cycle as well as nightly care. Write each frequency down so there’s no guessing.

Split the day and the night.

Some work has to happen while the building is occupied: restroom checks, spill response, lobby touch-ups. That’s porter work. The deeper cleaning happens after hours. Separating the two in the scope makes staffing and expectations clear.

Don’t forget the outside and the small fixes.

Sweeping, pressure washing and landscaping shape the first impression, so give them frequencies too. Add the routine maintenance tasks you want covered, such as lamp replacement, paint touch-ups and filter changes, so they don’t fall through the cracks.

Decide how quality is checked.

A scope is only as good as its inspections. Decide who reviews the work, how often and what happens when something is missed.

Write tasks the way a crew reads them.

A scope line such as “clean restrooms” leaves too much open. Break it into tasks a crew can check off: fixtures cleaned and disinfected, mirrors and partitions wiped, floors mopped, dispensers restocked, trash removed. Each task gets a frequency and an area, and the checklist the crew carries matches the scope word for word.

Floors and exteriors work the same way. “Floor care” becomes nightly vacuuming and mopping, a scrubbing cycle and a refinishing cycle, each with dates. “Exterior” becomes set sweeping nights, monthly or quarterly wash dates and scheduled landscaping visits, each on the calendar.

Plan the periodic work, not only the nightly work.

Nightly cleaning gets the attention, but periodic tasks are what keep a property from wearing down. Carpet care, hard-floor refinishing, high dusting, interior glass detailing and pressure washing all belong on a calendar inside the scope, so they happen whether or not anyone remembers to call.

A simple tool is a twelve-month grid with every periodic task on its own row. Busy seasons, tenant events and holidays go on the same grid, so heavy work avoids them.

Scoping a portfolio.

When the scope covers several properties, separate what stays the same from what changes. Task definitions, checklist format and the inspection routine should match everywhere. Areas, frequencies and schedules belong to each building.

That structure lets one service manager compare properties directly and spot the building that is slipping. It also makes adding a property quick: walk it, list its areas and drop it into the existing format. Our services overview shows everything that fits in a single scope. Your facility partner should walk the property with you and turn all of this into a written quote.

A few useful answers

Quick answers.

How detailed should a cleaning scope be?

Detailed enough that a new crew could follow it on its first night. Every area, task and frequency should be written down.

Who should sign off on the scope?

The property or facility manager who owns tenant relations, with input from whoever fields complaints. Your partner then turns it into the written quote.

How often should a scope be updated?

Review it whenever tenants change or a space is renovated, and walk the property against it at least once a year.
